Experiential Education FAQ

1. When do rotations begin?

Rotations generally begin in mid-May.  Refer to the rotation calendar for the appropriate academic year for specific dates.

2. What is the length of each rotation?

Students must complete eight 5-week rotations.

3. When should students contact their preceptors?

Students should contact the preceptors for each site by email, phone or both one month prior to the start of that rotation.

4. Have students received HIPAA Training prior to beginning advanced practice rotations?

Yes, each student completes a HIPAA class offered by the College of Pharmacy and must receive a passing score on the associated test.

5. Should preceptors adjust their working schedule to accommodate student schedules?

No, the student should follow the preceptor's schedule unless specifically arranged with the preceptor beforehand.

6. Should students make up time missed during a rotation for an excused absence?

Our guidelines suggest that if a student wishes to attend a pharmacy meeting (e.g., ASHP-Mid Year  Clinical Meeting) they must gain approval of their preceptor at the site affected.  This planning should start well ahead of the scheduled rotation.  It is up to the discretion of the preceptor whether the student needs to make up this time.

7. Should every project completed at a rotation be presented under the Abstract option in PEMS or just presentations and papers?

All projects, presentations, and papers should be entered under the Abstract option.

8. The pharmacist I worked under to obtain my required 250 internship hours did not sign-off on all of the necessary competencies in the internship booklet because some were not applicable to the site. Can one of my rotation preceptors fill out the rest of the competencies? If so, should they fill out the "Affidavit of Preceptors" or must they also sign a notarized form?

Preceptors may fill out the competencies that were not previously completed by your internship preceptor. The preceptor should fill out the "Affidavit of Preceptors" only.

9. I am receiving mixed feedback from fellow students on whether the 40 hour per week work requirement for rotation students is set in stone. Some rotations offer flexible schedules, for example a come early, leave early policy on Fridays. What is appropriate?

Some flexibility in the hours is fine, but the hours worked each week must total 40 hours.

10. I notice that there is a mid-rotation assessment in the rotations manual (paper version) but I cannot locate one online. Is this something that I should complete with my preceptor and submit to your office? Or is this to be completed half-way through rotations (after 4)?

You are correct, there is not an online version of the mid-point assessment. We have provided the paper version for you to use as a tool to initiate a mid rotation discussion of your performance with your preceptor during each rotation. A midpoint discussion such as this is a key to insuring your success on rotations.

11. Are student pharmacists on rotation allowed to transfer prescriptions under the supervision of a pharmacist?

Yes, student pharmacists may transfer prescriptions as a result of a Board decision finalized in April 2009.

12. I have entered a number of activities during my rotation, but when I go back into the system to view them, I am unable to see anything I have entered.

To view previously entered logs, click on the "Activities" icon and then choose the "V" (view) button next to the applicable rotation. You will be taken to a read only page that will allow you to view all previously entered activities for that location.

13. If I was recently certified for CPR, must I participate in the Drake sponsored program that is offered?

You may opt out of the Drake sponsored program, but keep in mind that you are obligated to recertify somewhere else before your current certification expires.

14. Where can I purchase additional name badges if I lose mine?

15. What is required regarding proof of insurance while on rotations?

The experiential office no longer requires a signed waiver or other proof of insurance since student coverage is now handled by the University.  Students who are not insured otherwise are automatically billed for coverage under a Drake University policy.  While on rotations, you must carry proof of insurance - either a card or certificate - in case it is required by the site.

16. I am having some confusion regarding the checklist - can you explain certain topic areas such as Distribution Systems, Inventory Procurement, Lifelong Learning, Location Analysis, etc?  Are these issues that the preceptors will address, or do you have examples?

You need to talk with your preceptors and ask them to share their methods/ideas in each of these topic areas.  We do not provide detailed description for the categories because they often mean different things to different preceptors.  Topic areas may not apply to all sites.  For instance, you will cover distribution systems (how medications get from stock to the patient) only in community and hospital rotations.  Some sites may cart-fill while others use pixus.  You should understand the processes for each type of setting.  Location Analysis applies only to community practice rotations.  Lifelong learning should be applicable with every preceptors.
