Close Personal Contact – Being in contact with another individual person at a distance of six feet or less for fifteen minutes or longer.
Face Coverings – Face coverings include cloth or disposable surgical masks that cover an individual’s nose and mouth.
Policy outlining requirements for employees returning to work on the University campus as a means of mitigating the risk of spreading COVID-19 by providing employee training, requiring temperature and symptom monitoring, and implementing policies around face coverings, social distancing, travel, and campus events.
This policy is intended to mitigate the risk of the spread of COVID-19 and is subject to frequent revision based on the introduction of additional public health guidelines from local, state, and federal authorities. It is expected that this policy or subsequent versions of it will be in force until official notice otherwise from the University.
This policy applies to all employees, including faculty, staff, and sub-contracted employees of Drake University. Separate policy guidance may be issued for other parties including students as they return to campus for academic coursework.
Awareness and Education
All employees are expected to become familiar with COVID-19 related information provided by the University as part of an awareness and education effort, including updates and information available on the University’s COVID-19 website at drake.edu/coronavirus.
Training and information on institutional policies and prevention measures will be made available prior to the beginning of the 2020–2021 academic year.
All Drake University employees (including faculty, staff, and sub-contracted employees) are required to measure and record their own body temperature from home or at one of several self-serve stations on the Drake campus for indications of COVID-19 like illness. Some departments, such as Facilities and Public Safety, may develop their own temperature monitoring process requirements consistent with this policy.
Any employee who registers a temperature of 100.4 degrees Fahrenheit or higher is required to notify the Director of Environmental Health and Safety by submitting the COVID-19 Reporting Survey and must also notify his/her manager. If the employee is already on the Drake campus, he/she must leave campus immediately and must not report or return to campus until notified that it is safe to do so by the Department of Environmental Health and Safety.
Reporting Symptoms and Confirmed COVID-19 Cases
No employee may report or return to campus while experiencing any symptoms of COVID-19 or other respiratory illness, including cough, shortness of breath or difficulty breathing, fever, new loss of taste or smell, sore throat, muscle pain or body aches, headache, chills or any other symptoms currently considered to be associated with COVID-19 as indicated by the Centers for Disease Control and Prevention at https://www.cdc.gov/coronavirus/2019-ncov/symptoms-testing/symptoms.html. Any employee that experiences symptoms either at home or while at work is required to notify the Director of Environmental Health and Safety by submitting the COVID-19 Reporting Survey and must also notify his/her manager. If the employee is already on the Drake University campus, he/she must leave campus immediately and must not report or return to campus until notified that it is safe to do so by the Department of Environmental Health and Safety.
If an employee is diagnosed with COVID-19 or has had close personal contact with anyone that has been diagnosed with COVID-19, that employee must immediately provide the University notification of exposure by submitting the COVID-19 Reporting Survey to the Director of Environmental Health and Safety and must also notify his/her manager. If the employee is already on the Drake University campus, he/she must leave campus immediately and must not report or return to campus until notified that it is safe to do so by the Department of Environmental Health and Safety.
All employees are required to cooperate fully with the University’s notification and contact protocols, in accordance with the requirements of the Iowa Department of Public Health and Polk County Health Department. Any employee health information collected pursuant to this policy will remain confidential and will only be shared by the Department of Environmental Health and Safety as necessary for the Department to coordinate its response to reports of potential institutional exposure to COVID-19.
While on-campus, all employees must maintain a social distance of at least six feet from others wherever possible. Employees are required to follow any signage or other instruction regarding the use of common spaces, hallways or pathways throughout campus.
Employees are required to wear a face covering while in campus buildings. Face coverings must also be worn in outdoor settings where safe social distancing is not possible. The following in- building exceptions apply:
• Employees working alone in their offices
• Students in their residence hall room (unless the door is open or visitors are present)
• While participating in activities in which a face covering cannot be worn or would prohibit respiratory function (e.g., eating, drinking, playing a musical instrument)
Everyone must maintain a social distance of at least six feet from others wherever possible, even when wearing a face covering.

Employee travel outside of the state of Iowa on behalf of the University is suspended, unless deemed critical and approved by an employee’s President’s Council level administrator. This policy applies to all University-sponsored travel and will continue until further notice.
Prior to engaging in any approved travel outside of Iowa or travel within the state of Iowa, employees must complete the University’s COVID-19 travel risk mitigation process by first submitting the Faculty and Staff Business Travel Approval Form to the University’s Risk and Insurance Office.
Vehicle occupancy for local travel using Drake owned vehicles on the Drake campus or to conduct business within the state of Iowa is limited to the driver only. In addition, carpooling and ridesharing in personal vehicles for purposes of conducting University business is prohibited.
Capacity for on-campus events will be limited to allow all attendees to engage in social distancing of at least six feet between individuals or to limit room capacity to fifty percent, whichever is less. Proposed events will require a completed risk assessment and distancing plan to allow for University review and approval prior to the event being scheduled. Events will not be approved until this process is complete and may be cancelled for noncompliance with this policy.
